How Your Money Is Handled

Our Commitment to Transparency & Security

Booking a safari often involves securing high-demand lodges, seasonal permits, and exclusive activities well in advance. We understand that making a significant payment requires trust — and we are committed to providing full clarity on how your funds are handled from the moment you confirm your journey.

This page explains the payment process, how supplier arrangements work, and the protections in place for your booking.

1. Why Deposits Are Required

Luxury lodges, remote safari camps, and specialist operators have very limited availability and extremely high global demand. To secure your chosen itinerary, we must confirm these services on your behalf.

This requires:

  • Locking in your lodge and room category
  • Securing private transfers and logistics
  • Reserving guides, activities, or conservation permits
  • Confirming peak-season or exclusive inventory

Suppliers will not hold space without a confirmed deposit, which is why your payment is necessary at the time of booking.

2. How Payments Are Made

How payments are made: All payments are made via Banküberweisung to our official South African business account. Payment may also be made by credit card if preferred.

  • Secure and traceable
  • Fully invoiced
  • Accepted internationally
  • No card-processing risks when paying by bank transfer (this applies only to bank transfers)

For every payment, we issue a formal invoice, payment confirmation, and reconciliation applied to your booking file — ensuring full documentation for your records and insurance purposes.

3. How We Use Your Deposit

Once payment is received, we allocate your funds directly to the suppliers responsible for your itinerary. This may include:

  • Lodges and safari camps
  • Hotels and private villas
  • Transfer companies
  • Activity providers
  • National park authorities (e.g., conservation or specialist permits)

These suppliers rely on advance payment to confirm your reservation and guarantee the services included in your itinerary.

4. Allocation of Funds & Supplier Receipts

For each confirmed and fully paid booking component, we obtain and send you:

  • Supplier confirmation numbers
  • Lodge vouchers
  • Transfer or ground-service confirmations
  • Activity confirmations
  • Permit receipts

You will receive all relevant documents as soon as each service is secured, providing transparent proof that your funds have been applied correctly.

5. Non-Refundable Components

All components are non-refundable, except for the rental car, which can be refunded up to 24 hours before the rental start. These conditions will always be highlighted clearly in your proposal before any payment is made.

6. Balance Payments

All balance payments are due 60 days prior to arrival. Your invoice will clearly specify the due date for each booking.

Late payment may result in automatic cancellation by suppliers, and in such cases the applicable cancellation fees or non-refundable conditions will apply.

7. Travel Insurance Is Essential

We strongly recommend comprehensive travel insurance that includes trip cancellation, medical/evacuation cover, and other benefits appropriate for your journey.

Insurance protects you from unforeseen events outside our or the suppliers’ control. We’re happy to guide you on suitable policy types to discuss with your insurer or broker.
